Ceremonies

What ceremony am I attending?

On confirmation that you have completed and passed your course, you will receive an email invitation in early August advising you which ceremony to attend, with your unique booking code and details of how to book your tickets and gown

How much will it cost?

We want Graduation day to be enjoyed by everyone and shared with family and friends, with that in mind we try and keep the costs as low as possible for our students. Graduates will not require a ticket, Graduate gown hire is compulsory and guest tickets are also charged at £6 per person

How do I confirm I am attending Graduation?

In order to attend Graduation, you must register and book your gown and tickets once you have received your email invitation and unique booking code in early August 2018. When booking you will be asked to enter your unique booking code from the invitation emailed to you.

How long will the ceremony last?

Each ceremony will last approximately an hour and a half. With all attendees to be seated 15 minutes before the ceremony start time.

What happens when I arrive at the Usher Hall?

Every student who is graduating must register on arrival to the Usher Hall. Registration at the Usher Hall within the main foyer area will be open from 8.30am until 6 pm. We recommend you allow at least an hour and a half to register, collect your gown and have your photograph taken. Graduands and guests must be seated in the auditorium 15 minutes before the ceremony starts.

What do I get at the Graduation ceremony?

During the Graduation ceremony, you will receive an Edinburgh College certificate of your achievement. Your award certificate will have already have been sent to you by the awarding body.

I can't make the ceremony, can I graduate in absentia?

We do not offer to graduate in absentia as the certificate you receive during the College's graduation is ceremonial. Your official qualification will be sent to you directly from your awarding body.

Do I have to wear a gown and hood?

No. Hats and mortar boards are not part of Edinburgh College's academic dress and must not be worn.

How do I order my gown and hood?

All gowns and hoods can be ordered from our gowning supplier and you will only be able to do this from early August once you have received your email invitation containing your unique booking code

Where do I collect my gown and hood?

After registering at the Usher Hall on the day of Graduation, you will be directed to the gowning area to collect your gown and hood.

What do I wear under my gown?

Dress code for Graduation is smart, with most people opting to wear suits, kilts or dresses. Please ensure you wear something you will be comfortable in for the duration of the day.

Where do I return my gown?

Following your ceremony, you will be advised where you need to return your gown too and by what time.

How much are tickets?

Graduand tickets are free and the guest tickets are £6 per person. Children under 5 go free but still require a ticket, please ensure you tick this option if required when booking.

How many tickets can I buy?

There is currently no restriction on the number of tickets each graduand can purchase. These are available to buy online along with your gowns and any photography you wish to purchase. Once invitations have been issued. Please note that: All tickets purchased are non-refundable.

Can I choose where to sit?

All graduands will receive a ticket at the registration point within the Usher Hall showing their seat allocation. Under no circumstances should graduates change places.  When booking seats for your guests, you can select either Stall, Grand Circle or Upper Circle. All tickets are unreserved.

When will I receive my tickets?

Your tickets will be available to collect during registration at the Usher Hall on graduation day. Tickets are not posted out in advance of the ceremony.

Can children attend the ceremony?

Children are welcome to attend the Graduation ceremony but must have a seat and a ticket. Tickets for children under 5 years old are free.

Can I purchase tickets on the day of Graduation?

All graduation ceremonies are likely to sell out so booking early is advisable once you have received your invitation and unique booking code in early August. Please note that there are unlikely to be extra tickets available on the day of the Ceremony.

How do I order photography?

There will be professional photography available on the day provided by our appointed robing company. Photography packages which are optional will be available to purchase online from early August once invitations have been issued. If however, you have not pre-ordered photography it is still possible to book this on the day of your graduation.

Are Presentation Photographs taken on stage?

An individual presentation photograph will be taken on the stage for each graduate. This can be purchased on the day in the foyer area following each ceremony.

Where do I get my professional photography taken?

On arrival at the Usher Hall, you will be advised where to go for any photography you have booked once you have collected your gown.

When is the registration and order deadline?

The deadline to register your attendance and order your gown, photography and tickets online for all eligible students is Midnight on Monday 10 September 2018. No exceptions to this will be made.

I missed the deadline to register to attend. What can I do?

You will be unable to attend the Graduation ceremony for 2018 if you miss the deadline to register.

I have not received an invitation to attend Graduation but have been told I have passed my course, can I still come?

It is your responsibility to ensure the information Edinburgh College has on file for you is correct. All information about this year’s Graduation ceremony will be sent to you via email. Please check your SPAM folder in the event your invitation has been directed into this folder on your email account. If you have not received an email from Edinburgh College (these will be issued in early August) with your unique registration code but have received a certificate from your awarding body, such as SQA, then please tell us immediately by emailing graduation@edinburghcollege.ac.uk so we can check our records.

What if I haven't passed or been verified in time for the ceremony?

There will be a cut-off date in which you can be invited to attend graduation any results received after this date will be eligible to attend Graduation 2018.

Where can I park?

There is limited on-street car parking around the Usher Hall. However, there is an NCP car park located across the road at Castle Terrace. Disabled parking is available on Grindlay Street and Cambridge Street.

I and/or my guests have special requirements, what should I do?

If you need assistance on the day of graduation to cross the stage then please advise while booking in the special requirements field and we will be able to accommodate your request. If any of your guests have any special requirements on the day, please complete the special requirements field when booking and we will be back in touch with you to discuss further. I can no longer attend the ceremony. Can I get a refund?

The following refund policies apply: Tickets All tickets are non-refundable. Gowns If for whatever reason, you are no longer able to attend the ceremony, the refund policy for gowns will be in place.

I have changed email addresses and have not received any information on Graduation. What should I do?

It is your responsibility to ensure the information Edinburgh College has on file for you is correct. All information about this year’s Graduation ceremony will be sent to you via email. If you have any questions about contact details, please Email: graduation@edinburghcollege.ac.uk to update your records.

I have decided not to return for year 2 of my HND course, what do I need to do?

Students who have enrolled on an HND programme and decide not to return for year 2 have the option to level out with an HNC and therefore eligible to attend graduation. In order to achieve this all students who wish to level out need to complete a form provided by our finance team within the cash office on each campus. The process costs £25 and the form needs to be signed off by your lecturer. Once this process has been completed you will be eligible to attend graduation and will be emailed your invitation containing your unique booking code.
Data Protection 
Graduates, guests and staff should be aware that graduation ceremonies are regarded as public events. Names and awards of all eligible graduates are published in the graduation programme and local press. If you object to publication of your personal data (name and award) you should inform the graduation team at graduation@edinburghcollege.ac.uk  

Wording on your Certificate 
Your certificate will be printed with your full official name as recorded on your student record. If you have any concerns over the name which will be detailed on your certificate, please contact graduation@edinburghcollege.ac.uk
